Summary: The Commercial Escrow Officer is responsible for managing complex commercial real estate escrow transactions from opening through closing. This role requires deep knowledge of escrow processes, strong coordination with multiple stakeholders, and the ability to navigate sophisticated transaction structures. The ideal candidate is an experienced escrow professional who can independently manage high-volume, high-complexity deals while ensuring accuracy, compliance, and exceptional client service. What You’ll Do: Open, manage, and close commercial escrow transactions in accordance with established procedures and regulatory requirements. Review purchase agreements, loan documents, title commitments, and closing instructions to ensure escrow compliance. Coordinate with buyers, sellers, lenders, attorneys, title officers, and other parties to facilitate timely closings. Prepare, review, and balance settlement statements and closing documents. Manage the receipt, disbursement, and reconciliation of escrow funds. Ensure satisfaction of all escrow conditions, title requirements, and lender instructions prior to closing. Record and distribute closing documents and final settlement packages. Maintain accurate escrow files and documentation throughout the transaction lifecycle. Communicate clearly and professionally with all parties to resolve issues and keep transactions on track. Ensure adherence to internal policies, regulatory standards, and best practices. Experience You’ll Need: 7 years of experience as a Commercial Escrow Officer or in a senior commercial escrow role. Strong understanding of commercial real estate transactions, escrow procedures, and closing requirements. Experience managing complex, multi-party transactions. Proficiency with escrow and title software systems and Microsoft Office tools. Excellent organizational, analytical, and problem-solving skills. Strong written and verbal communication skills with a client-service mindset. Ability to manage multiple transactions simultaneously under tight deadlines. High attention to detail and commitment to accuracy and compliance. Our matters are complex and there’s quite a bit of troubleshooting this Commercial Escrow Officer would be responsible for assessing and resolving, like title defects (liens, encumbrances, easements), verifying intricate legal authority for entities (LLCs, corporations), resolving survey and boundary discrepancies, managing multi-lender financing delays, and handling detailed prorations for income-producing properties, such as rent rolls and security deposits. Do they have experience and desire doing things like: Title Curative Actions: Resolving unexpected liens, judgment liens, unpaid taxes, or breaks in the chain of title discovered during the title examination. Entity Authority & Documentation: Verifying signatory authority for complex entities, reviewing operating agreements for LLCs or corporate bylaws, and obtaining necessary corporate resolutions. Survey and Property Boundary Issues: Handling discrepancies between the survey and the legal description, boundary disputes, or unrecorded easements. Loan and Funding Complications: Managing delays in underwriting, coordinating multiple lenders, and ensuring complex loan documents (including mezzanine financing) are properly executed and recorded. Contractual Disputes and Contingencies: Troubleshooting disputes over inspection issues, repair credits, or final adjustments to the closing statement (HUD/CD). Document Preparation and Review: Reviewing lease agreements, estoppel certificates, service contracts, and environmental reports (Phase I/II) to ensure compliance with the purchase agreement. Environmental and Zoning Issues: Addressing issues found in environmental reports or compliance with local zoning regulations. Tenant Security Deposits: Calculating and transferring rent proration and security deposits for income-producing properties. Recording Delays: Managing issues with local recording offices to ensure timely filing of deeds and mortgages.
